Recipe Management System (RMS)

Recipe Management System

Overview

Overview

The Recipe Management System addressed critical operational challenges for a large media organization managing thousands of recipes across television shows, magazines, cookbooks, websites, mobile platforms, and business partnerships. At the time of this project, recipe assets were scattered across five or more disconnected repositories, requiring manual searches, emails, spreadsheets, FTP sites, and phone calls to locate recipes, confirm usage rights, and associate photos. This fragmentation caused publishing delays, increased legal risk, and prevented the organization from capitalizing on monetization opportunities. The RMS project unified recipe creation, storage, archival, rights management, and media association into a single enterprise platform serving multiple internal teams and external stakeholders.

Problem Statement

Problem Statement

The organization faced severe operational inefficiencies due to recipe data fragmentation. Recipes were stored across five disconnected systems with no unified search capability. Rights and usage data were captured manually and repeatedly but never shared across departments, creating compliance risk and contractual violations. Photos were scattered across FTP servers, shared drives, and DAM systems, causing widespread duplication, version confusion, and wasted storage costs. Time-consuming manual workflows delayed magazine publishing cycles, show production schedules, and digital releases. The lack of centralized discoverability meant missed revenue opportunities—business development teams couldn't quickly validate if recipes existed, confirm rights clearance, or package recipe collections for syndication deals. Cross-team collaboration was chaotic, with no standardized processes, resulting in duplicated work, conflicting edits, and frequent errors reaching published outputs.

Enterprise Stakeholder & Process Analysis

Enterprise Stakeholder & Process Analysis

Conducted comprehensive discovery including stakeholder interviews with 35+ individuals across Culinary Production, Culinary Editorial, Food Network Kitchens, Online Editorial, Culinary New Business, Hearst Magazine partners, and external production companies. Mapped 9 existing fragmented workflows across magazine production, show recipes, talent management, cookbook publishing, and web/mobile distribution. Analyzed usage patterns across legacy systems including SharePoint, Slate, SNidbit, FTP servers, and email-based handoffs. Documented rights management gaps, photo asset challenges, and compliance risks. Collaborated with IT, legal, and business teams to understand technical constraints, regulatory requirements, and strategic objectives.

Key Insights

  • Recipes stored across 5+ disconnected systems with no single source of truth, requiring manual searches across platforms that took 20-45 minutes per recipe

  • Rights information captured in spreadsheets and emails but not associated with recipes, creating high risk of contractual violations when recipes were reused

  • Photo duplication across FTP and DAM systems consumed unnecessary storage and created version control confusion—70% of recipes had 3+ duplicate photo files

  • Magazine production cycle delayed by 2-3 days per issue due to recipe validation and photo association manual processes

  • New business opportunities missed because teams couldn't quickly search, validate rights, and package recipe collections for partnerships

  • No workflow automation—every handoff required manual emails, phone calls, and status tracking in spreadsheets

  • Different teams used different terminology and metadata schemas, preventing cross-departmental recipe discovery

  • Recipe derivatives (edited versions for magazines, shows, web) were disconnected from originals, losing editorial history and rights lineage

Information Architecture & Metadata Design

Designed unified metadata schema supporting all recipe types, channels, and business needs. Created task-based information architecture organizing system around user goals rather than departmental structure. Developed recipe taxonomy including type classification (original vs. derivative), status progression (draft, in review, approved, published, archived), rights attributes (usage grants, restrictions, expiration), and media associations (photos, videos, related content). Validated IA through card sorting and tree testing with representative users.
